CLEARSCALE MARKETING
Privacy Policy
Your information. Handled with care.
Last updated 20 October 2026Who we are
ClearScale Marketing Limited, registered in England and Wales under company number 15407195. Registered office: 22 Derby Street West, Ormskirk, Lancashire, England, L39 3NH. We are responsible for deciding how personal information is used when you enquire about our services, book a call or manage your relationship with us. Contact privacy@clearscalemarketing.co.uk or write to our registered office about this notice or your information.
What this notice covers
This notice covers our marketing website, discovery-call bookings and our own client administration. Where we manage leads or customer information on a client’s behalf, that client generally decides why the information is used and is the data controller. We act on their instructions under the relevant service and data-processing agreement. Please contact that business about its use of your information; we can help direct requests to the appropriate client.
Information we receive
You may give us your name, work email, telephone number, business details, website address, services of interest, budget, availability and messages. A booking includes your selected appointment and any notes you supply. Client administration may include account details, permissions, correspondence, contracts and payment or invoice records. Hosting and security services may receive technical information such as IP address, request time, browser details and security events. Please do not include sensitive personal information in an enquiry unless we have specifically arranged a suitable way to receive it.
Why we use information and our lawful bases
- Enquiries, recommendations and bookings: to respond and arrange a conversation. We rely on steps requested before entering a contract where you would be the contracting person, or our legitimate interests in responding to business representatives and developing business relationships.
- Providing and administering services: performance of our contract with you, or our legitimate interests in managing a contract with the organisation you represent.
- Security and service reliability: our legitimate interests in preventing misuse, protecting accounts and resolving technical problems.
- Financial and legal records: compliance with applicable legal obligations, and legitimate interests in handling disputes and establishing or defending legal claims.
- Marketing communications: consent where required, or legitimate interests where permitted by the rules applicable to the recipient. You can object or unsubscribe at any time. An enquiry or booking is not automatic consent to unrelated marketing.
Who receives information
Information is available to authorised people working for ClearScale and to service providers needed to deliver the relevant function. The current implementation uses Vercel for this website, the connected portal and booking API, Google Firebase services for portal authentication and records, and Calendly for discovery-call scheduling. Microsoft 365 is used for our shared enquiry inbox and privacy-request alias. Calendar and meeting providers may also receive booking information. Professional advisers and authorities may receive information where necessary for advice, legal obligations or legal claims. A link to another website does not itself give that business your enquiry details; visiting it is subject to its own notice.
International processing
Our hosting, scheduling and communications providers operate internationally, including in the United States, so information may be processed outside the UK. Their published terms describe transfer arrangements including adequacy decisions and standard contractual clauses with UK provisions, where applicable. The arrangement depends on the provider, service and destination. Details are available in the Calendly data-processing terms, Vercel data-processing terms, Firebase data-processing terms, Microsoft privacy statement and OpenAI privacy policy. You can contact privacy@clearscalemarketing.co.uk to request further information or a copy of relevant safeguards.
How long we keep information
- Enquiries that do not become clients: 12 months after our last contact.
- Client contracts and financial records: six years after the client relationship ends.
Your rights
Depending on the circumstances, you can ask to access, correct or erase your personal information, restrict its use, object to processing, or receive and transfer certain information. You can object to direct marketing at any time. Where we rely on consent, you can withdraw it without affecting processing that was lawful before withdrawal. These rights have exceptions; we will explain any that apply. Contact us using the details above. We may need proportionate information to verify your identity. We normally respond within one month; we will explain if a lawful extension is necessary.
Concerns and complaints
Please contact us if you have a concern. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint. You do not have to complain to us first.
Cookies, third-party sites and changes
See our Cookie Policy for browser storage and booking-provider information. Other websites have their own privacy notices. We will update this notice when relevant practices change and provide further notice where required. If we introduce advertising tracking, we will update our notices and provide the applicable choices before it is used.
